แอปพลิเคชัน TOPFlow HR เป็นระบบบริหารงานบุคคลสำหรับ พนักงานของห้างฯ เท่านั้น ไม่เปิดให้บุคคลทั่วไปสมัครใช้งาน บัญชีผู้ใช้ถูกสร้างโดยฝ่ายบุคคล/ฝ่ายไอทีของห้างฯ

2. ข้อมูลที่เราเก็บและวัตถุประสงค์

เราไม่เก็บ รายชื่อผู้ติดต่อ, ปฏิทิน, ข้อความ, ประวัติการใช้แอปอื่น, ไฟล์ส่วนตัวในเครื่อง และ ไม่มีโฆษณา ไม่มีเครื่องมือวิเคราะห์พฤติกรรมของบุคคลที่สาม ในแอปนี้

3. เรื่องใบหน้าโดยเฉพาะ (สำคัญ)

การประมวลผลภาพใบหน้า ทำบนเครื่องของท่าน แอปแปลงใบหน้าเป็นชุดตัวเลข (embedding) ก่อนส่งออกจากเครื่อง
สิ่งที่ถูกส่งไปเก็บบนเซิร์ฟเวอร์ของห้างฯ คือ ชุดตัวเลขดังกล่าว และ รูปถ่ายตอนลงทะเบียนใบหน้า (เพื่อให้ฝ่ายบุคคลตรวจสอบยืนยันได้ว่าลงทะเบียนถูกคน)
ภาพวิดีโอสดขณะสแกนหน้าเพื่อลงเวลา ไม่ถูกบันทึกและไม่ถูกส่งออกจากเครื่อง
ข้อมูลใบหน้าใช้เพื่อการยืนยันตัวตนในการลงเวลาเท่านั้น ไม่ถูกนำไปใช้เฝ้าระวัง ติดตามพฤติกรรม หรือส่งต่อให้บุคคลภายนอก
ท่านสามารถ ถอนความยินยอม และขอให้ลบข้อมูลใบหน้าได้ทุกเมื่อ โดยแจ้งฝ่ายบุคคลหรืออีเมลตามข้อ 8 การถอนความยินยอมจะทำให้ท่านต้องลงเวลาด้วยวิธีอื่นที่ห้างฯ กำหนด และไม่กระทบความถูกต้องของการประมวลผลที่ทำไปแล้วก่อนหน้า

4. เรื่องตำแหน่งที่ตั้ง

แอปขอตำแหน่ง เฉพาะขณะที่ท่านเปิดแอปและกดบันทึกเวลาเข้า-ออกงาน เท่านั้น
แอป ไม่ติดตามตำแหน่งขณะทำงานอยู่เบื้องหลัง และไม่เก็บเส้นทางการเดินทาง
หากท่านปฏิเสธสิทธิ์ตำแหน่ง ท่านยังใช้ฟังก์ชันอื่นได้ แต่จะบันทึกเวลาแบบอิงพื้นที่ไม่ได้

5. การเปิดเผยข้อมูล

เราไม่ขายข้อมูลส่วนบุคคล และเปิดเผยเฉพาะเท่าที่จำเป็น ได้แก่

(ก) ผู้บังคับบัญชาและฝ่ายบุคคลของห้างฯ ตามขอบเขตหน้าที่
(ข) ผู้ให้บริการโครงสร้างพื้นฐานที่ประมวลผลข้อมูลแทนเราภายใต้สัญญารักษาความลับ
(ค) เมื่อมีหน้าที่ตามกฎหมาย คำสั่งศาล หรือหน่วยงานรัฐที่มีอำนาจ

การโอนข้อมูลไปต่างประเทศ (มาตรา 28 PDPA): เมื่อท่านเปิดใช้การแจ้งเตือนบนอุปกรณ์ เราส่ง โทเคนอุปกรณ์และข้อความแจ้งเตือน (ซึ่งบางข้อความมีข้อมูลงานบุคคลของท่านประกอบ เช่น สถานะคำขอที่ยื่นไว้) ไปประมวลผลผ่านบริการ Firebase Cloud Messaging ของ Google ซึ่งมีเซิร์ฟเวอร์อยู่ในต่างประเทศ รวมถึงสหรัฐอเมริกา ภายใต้มาตรการคุ้มครองตามสัญญาประมวลผลข้อมูลของผู้ให้บริการ นี่เป็นบริการภายนอกรายเดียวที่ได้รับข้อมูลจากระบบนี้ ท่านปิดการแจ้งเตือนได้จากการตั้งค่าของเครื่องหรือของแอปเมื่อใดก็ได้ ข้อมูลใบหน้า พิกัด GPS สลิปเงินเดือน และบันทึกเวลาทำงาน ไม่ถูกส่งออกไปยังบริการภายนอกใด ๆ และเก็บอยู่บนเซิร์ฟเวอร์ของห้างฯ เท่านั้น

6. การเก็บรักษาและความปลอดภัย

รับส่งข้อมูลผ่านการเข้ารหัส HTTPS/TLS เท่านั้น
โทเคนการเข้าสู่ระบบและข้อมูลอ่อนไหวบนเครื่องเก็บไว้ใน Keychain (iOS) / Keystore-backed storage (Android)
ข้อมูลการลงเวลาและงานบุคคลเก็บตามอายุความและข้อกำหนดทางกฎหมายแรงงาน/ภาษี (โดยทั่วไปไม่เกิน 10 ปี)
ข้อมูลใบหน้าจะถูกลบเมื่อ ท่านถอนความยินยอม หรือภายใน 90 วันนับจากพ้นสภาพพนักงาน แล้วแต่กรณีใดถึงก่อน

7. สิทธิของท่านตาม PDPA

ท่านมีสิทธิขอเข้าถึง ขอสำเนา ขอแก้ไขให้ถูกต้อง ขอลบหรือทำลาย ขอระงับการใช้ ขอคัดค้านการประมวลผล ขอให้โอนย้ายข้อมูล และถอนความยินยอม รวมถึงสิทธิร้องเรียนต่อสำนักงานคณะกรรมการคุ้มครองข้อมูลส่วนบุคคล

8. การขอลบบัญชีและข้อมูล

เนื่องจากบัญชีถูกสร้างและควบคุมโดยห้างฯ ท่านไม่สามารถลบบัญชีได้เองในแอป โปรดส่งคำขอที่ it@topcooling.ltd หรือติดต่อฝ่ายบุคคล เราจะดำเนินการภายใน 30 วัน เว้นแต่มีหน้าที่ตามกฎหมายที่ต้องเก็บข้อมูลบางส่วนไว้ (เช่น บันทึกเวลาทำงานและเอกสารค่าจ้าง)

9. เด็กและเยาวชน

แอปนี้ใช้เฉพาะพนักงานของห้างฯ ไม่ได้มุ่งหมายให้ผู้มีอายุต่ำกว่า 18 ปีใช้งาน

10. การเปลี่ยนแปลงนโยบาย

หากมีการแก้ไขสาระสำคัญ เราจะประกาศบนหน้านี้และแจ้งผ่านแอปก่อนมีผลบังคับใช้

TOPFlow HR is an internal human-resources application for employees of TOPCOOLING Limited Partnership only. It is not open to public sign-up; accounts are created by our HR/IT team.

2. Data we collect and why

We do not collect contacts, calendar, messages, other-app usage, or personal files. The app contains no advertising and no third-party behavioural analytics.

3. Face data specifics

Face images are processed on your device; the app converts a face into a numeric embedding before anything leaves the phone.
What is sent to our servers is that embedding, plus the enrolment photos so HR can confirm the right person enrolled.
The live camera stream used for clock-in verification is never recorded or transmitted.
Face data is used only for attendance identity verification — never for surveillance, behaviour tracking, or disclosure to outside parties.
You may withdraw consent and request deletion at any time (see §8); you will then clock in by another method we provide.

4. Location specifics

Location is requested only while the app is open and you tap clock-in/out. The app performs no background location tracking and stores no movement history. Declining the permission leaves the rest of the app usable.

5. Sharing

We do not sell personal data. We disclose it only to your managers and HR within their duties, to infrastructure providers processing data on our behalf under confidentiality obligations, and where required by law.

Cross-border transfer (PDPA s.28): when you enable notifications, the device token and notification messages — some of which carry HR context such as the status of a request you filed — are processed through Google Firebase Cloud Messaging, whose servers are located outside Thailand, including in the United States, under the provider’s data-processing safeguards. This is the only external service that receives data from this system, and you can turn notifications off at any time in your device or app settings. Face data, GPS coordinates, payslips, and attendance records are never sent to any external service — they stay on company servers.

6. Retention & security

All traffic uses HTTPS/TLS. Session tokens and sensitive values are stored in the iOS Keychain / Android Keystore-backed storage. HR records are retained as required by labour and tax law (generally up to 10 years). Face data is deleted upon consent withdrawal, or within 90 days after employment ends, whichever comes first.

7. Your rights

Under Thailand’s PDPA you may request access, copies, correction, erasure, restriction, objection, portability, and withdrawal of consent, and you may lodge a complaint with the Personal Data Protection Committee.

8. Account & data deletion

Accounts are company-managed and cannot be deleted from inside the app. Email it@topcooling.ltd or contact HR; we respond within 30 days, except for records we must retain by law (e.g. time and payroll records).

9. Children

The app is for company employees and is not directed at anyone under 18.

10. Changes

Material changes will be posted on this page and announced in-app before taking effect.
